BOOKING CONDITIONS

The following Booking Conditions form a contract between you and Party Bulgaria. It is vitally important you read these conditions and understand its content.

In these conditions ‘we’, ‘us’, and ‘our’ refer to Party Bulgaria. The term ‘you’ and ‘your’ refer to all persons named on the booking.

1.      Bookings

You agree to nominate a Group Leader and that he/she has the authority to act on your behalf.

The Group Leader will be liable for payments due to us and must be a minimum of 18 years of age at the time of booking.

When a booking is made (subject to availability) we will issue confirmation in writing to you. Please check all details carefully and notify us immediately if there are any discrepancies. We cannot accept any liability if we are

not notified within 7 days of sending confirmation.

An invoice will then be forwarded to the Group Leader (again, please check all details carefully) for payment.

Deposits (please see payment) must be made at the time of booking.

2.      How to pay?

You must pay a deposit of 20% of the total cost of the booking at the time of booking.

The balance must be paid no less than 28 days prior to the start of your arrangements with us. All details and dates will be shown on the invoice.

If you are booking within 28 days of your arrangement, you must pay the full cost at the time of booking.

If we do not receive all payments due in full and by the date specified, we will assume you have cancelled your booking.

Please read carefully the cancellation charges and amendments section.

We accept payments made by credit/debit card and bank transfers. Credit and debit card payments will incur a 5% charge to cover bank charges.

3.       Prices

All prices quoted on our web site are based on minimum group sizes. An accurate quote will be discussed at the time of enquiry and booking depending on group size and activities included.  The price quoted on your confirmation letter will be accurate and shall not be changed (albeit any changes made by the Group Leader).

On occasion we have to make changes and alterations to our website, documentation and literature. We reserve the right to make these changes and correct errors at any time.

4.      Cancellations and Amendments

Any cancellation or amendment request must be sent to us in writing and will take effect until received. We will endeavour to assist you in every way but we cannot guarantee we will be able to meet all requests.

Amendments made by you

If you or any member of the party wishes to make any changes or amendments to your confirmed booking, you must notify as soon as possible. We exercise the right to charge a fee of £25 per person or booking for said changes.

If you wish to change the dates of your booking this will normally be treated as a cancellation – this will result in cancellation charges being applied.
If you wish to change the name of a person travelling you must notify us in writing no less than 14 days from the arrangement date. The above charge will apply.

Cancellations made by you

If you or any member of the party wishes to cancel your confirmed arrangements you should notify us immediately in writing.

Due to the fact we incur charges from when we confirm your booking, the following charges will apply.

  • More than 28 days before your arrangements commence – Deposit
  • Between 28 and 14 days before your arrangements commence - Deposit + 50% of outstanding balance
  • Less than 14 days before your arrangements commence – Deposit + 100% of outstanding balance

You may be able to reclaim these charges – please check with your insurance agent.

If a cancellation reduces the number of the party, we will recalculate the amount and invoice you accordingly.

Cancellations and amendments made by us

From time to time we may have to make changes or amendments to confirmed bookings. While many of the changes are minor (i.e. a change of venue for an activity, accommodation upgrade or down grade) there are the very rare occasions when significant changes or cancellations have to be made.

If, for any reason this occurs, we will notify you as soon as possible and offer you the following options:

  • 1. accept the changed arrangements or
  • 2. purchase alternative arrangements of a similar standard or
  • 3. cancel or accept the cancellation in which case we will refund all monies paid to us

If the inevitable happens and we have to make a significant change or cancel an arrangement, depending on the circumstances, we will compensate as detailed below:

  • More than 28 days before your arrangement date – Deposit
  • Less than 28 days before your arrangement date – Deposit + 100% of arrangement cost

On very rare occasions we may have to cancel all or part of your arrangements after they have commenced due to Force Majeure. In the unlikely event this happens, we regret we are unable to refund, compensate or meet any costs or expenses you incur as a result.

5.    Force Majeure

We regret, unless otherwise stated, we cannot accept liability or pay compensation for our performance or obligations if affected by Force Majeure.

In these booking conditions Force Majeure means any event that includes: war, threats of war, civil unrest, acts of terrorism, natural and nuclear disasters, industrial disputes, fire and adverse weather conditions.

6.    Insurance

It is your responsibility to ensure you obtain adequate travel insurance for your particular needs and provides adequate and suitable cover for all activities you intend to take part in.

It is also your responsibility to ensure your travel insurance covers loss or damage to luggage and personal possessions and includes repatriation to the UK in the vent of accident or illness.

7.    Your health and special requests

If you or any member of the party has any special requests, you must advice us at the time of booking.

We will endeavour to pass your requests to the end supplier but we cannot guarantee all requests will be met.

If you or any member of the party has any medical conditions or disabilities, we would appreciate if you could inform us before we confirm your booking.

If any medical condition develops after the confirmation of your booking, you must inform us immediately.

If we feel we are unable to properly accommodate the persons individual needs, we reserve the right to decline their reservation. Likewise, if full details are not given at the time of booking or a disability or condition develops after the time of booking we also reserve the right to cancel if deemed necessary.

May we remind you that many of the activities on offer require a certain amount of fitness and stamina? Please consider carefully before participating in any activity – we will not take responsibility for accidents and injuries that may occur during these activities if you knowingly participate when unfit, unwell or injured.

8.    Complaints

In the event of a complaint arising, you should notify your local representative immediately. Many complaints are dealt with quickly and effectively. If you are unable to contact your representative or your complaint is not resolved, you must contact us by telephone in the first instance. If you dissatisfied, you must write to us within 14 days giving the full details of the complaint and booking reference number.

Only the Group Leader should write to us. If you fail to follow this simple complaints procedure, your right to a claim may be affected.

9.    Your behaviour and damage caused

Party Bulgaria would like you to enjoy your stay here in Bulgaria and we will endeavour to achieve the best quality and services for your chosen arrangements.

However, we cannot and will not accept responsibility or liability for your behaviour or damage caused during your stay!!

Please respect the laws of Bulgaria, their customs and property of others.

If you use violent, abusive or obscene behaviour you may face arrest and/or prosecution.

Please respect the accommodation where you are staying. You are responsible for any damage caused, breakages, extra cleaning services and service tariffs incurred during your stay in the hotel. Many of the accommodation suppliers will require a deposit/guarantee upon arrival (credit card or cash). If you or any member of the party acts in such a way to cause distress or damage to any third party, we have the right, without notice to terminate all your arrangements. No refunds will be paid.

You are also responsible for the safe keeping of all personal possessions. This includes passports, money, jewellery, traveller’s cheques, cameras and electronic equipment.

All hotels provide safety deposit boxes – please use them!!!

10.    Passports and health requirements

It is the responsibility of the Group Leader to ensure that all members of the party are in possession of all necessary travel and health documents prior to departure.

We cannot accept any responsibility or liability if you are refused entry onto any transport or entry to Bulgaria.

Please visit the Visa and Consular section/services for Foreign Citizens. Bulgaria is a member of the EU therefore British passport holders have right of entry.

For holidays in the EU/EEA you should obtain a European Health Insurance Card (EHIC) prior to departure from the Department of Health (www.dh.gov.uk – leaflet T7).

The Foreign and Commonwealth Office publishes regular updated travel information. It is recommended to consult their website prior to departure. www.fco.gov.uk/knowbeforeyougo

11.    Privacy Policy

Party Bulgaria will only use your personal details to process your booking.

We will not disclose any information to a third party for the use of marketing or promotional material unless you give us permission to do so.

12.    Law and Jurisdiction

These conditions and all matters rising from it shall be construed and governed according to Bulgarian law and shall be subject to the exclusive jurisdiction of the Courts of Bulgaria
